Version 1.0 · Effective date: September 28, 2026 · Last updated: September 28, 2026

1Welcome Aboard

We're thrilled you're joining a Vilni Journeys trip. Before we go on a journey together, here's what you need to know about how we work.

These Terms & Conditions ("Terms") are the agreement between you and Check in Sea Inc. d/b/a Vilni Journeys, a New York corporation. They spell out how booking works, how payment flows, what happens if plans change, and what to expect when you sail with us.

By booking with us, you're confirming that:

  • You've read and understand these Terms
  • You agree to them fully
  • You agree to pay according to the payment schedule for your Trip
  • You're ready for this journey

These Terms apply to all bookings, all guests, all departures. They're the same for everyone—transparent, consistent, and fair.

2Definitions

"Guest" or "You": Any individual traveling on a Trip, including the Responsible Party.

"Responsible Party": The person whose name appears on the booking. The Responsible Party is responsible for all payments owed for everyone on that booking.

"Trip": A Vilni Journeys journey aboard a sailboat operated or chartered by Vilni Journeys, including any land-based components (such as hotel stays, welcome dinners, city walks, and other group activities ashore) and all accommodations, meals, activities, and services described on the specific Trip page.

"Deposit": The initial payment required to secure a booking. The amount varies by Trip and is listed on the Trip page.

"Balance": The remaining payment due 60 days before Trip departure.

"Vilni Journeys," "We," "Us," "Our": Check in Sea Inc. d/b/a Vilni Journeys, a New York corporation.

"Charter Company": The boat owner or charter operator from whom Vilni Journeys leases the vessel for your Trip.

"Vendor" or "Supplier": Any independent third party that provides services for your Trip, including the Charter Company, hotels, transfer and transportation providers, restaurants, and local activity operators.

"Crew": The skipper, crew members, guides, and staff aboard the vessel. Our skippers are licensed and have the necessary experience.

"Force Majeure": Events beyond Vilni Journeys' control, as defined in Section 18 below.

3Booking & Confirmation

3.1 How to Book

You may book a Trip through our website, email, or by phone. All bookings are subject to availability and confirmation by Vilni Journeys.

3.2 Confirmation

Once you complete booking and submit payment, you will receive a confirmation email with:

  • Your booking reference number
  • Trip details (dates, destinations, vessel, cabin assignment)
  • Payment schedule
  • Cancellation policy details

Your booking is NOT confirmed until you receive this confirmation email.

3.3 Right to Decline Booking

Vilni Journeys reserves the right to decline any booking for any reason at any time. If we decline your booking, you will receive a full refund of all payments made. No further liability exists.

3.4 Age of Majority

By booking, you confirm you are at least 21 years old, or 18–20 with our prior written approval (see Section 8.7).

3.5 Accuracy of Information

You are responsible for providing accurate information (name, email, phone, passport details, health information, dietary restrictions, etc.). Vilni Journeys is not responsible for cancellations or missed services due to inaccurate or outdated information.

4Deposit & Payment Terms

4.1 Deposit Amount & Schedule

A Deposit is required to hold your spot. The deposit amount varies by trip and is determined based on various factors. The exact deposit amount for your trip will be clearly listed on the Trip page and disclosed at booking.

4.2 Deposit Due Date

Your Deposit is due at booking to lock in your reservation. Your booking isn't confirmed until we receive it.

4.3 Payment Methods

Vilni Journeys accepts the following payment methods:

  • Credit cards (Visa, Mastercard, American Express)
  • ACH bank transfer (US bank accounts)
  • Additional payment methods may be available; contact Vilni Journeys for options

Payment is processed through a third-party payment processor. We do not automatically charge your balance payment. You must submit your remaining balance payment yourself by the deadline. We'll send email reminders and payment instructions as your balance due date approaches.

4.4 Balance Payment

The remaining balance is due 60 days before your Trip departure date. This deadline aligns with Vilni Journeys' charter company obligations and is non-negotiable.

Example: If your Trip departs on August 15, your balance must be received by June 16.

4.5 Grace Period

If your balance is not received by the 60-day deadline, Vilni Journeys will send a reminder. You have three (3) calendar days from the deadline to submit payment. If payment is not received within this grace period, your booking will be automatically cancelled without further notice, and cancellation penalties (see Section 5) will apply.

4.6 Full Payment at Booking

Guests may elect to pay the full Trip cost at booking instead of splitting Deposit + Balance. No discount is offered for full payment. If you pay in full, the same cancellation policy applies.

4.7 Payment Plans

Vilni Journeys may offer installment payment plans for certain Trips. These may be offered directly by Vilni Journeys or through third-party payment plan providers. If available, payment plan options will be disclosed at booking.

Regardless of the payment plan structure used, the final payment must be received 60 days before departure. Failure to meet any scheduled payment deadline in a payment plan may result in cancellation of your booking. Any fees associated with third-party payment plans (such as interest or service fees) are the responsibility of the Guest, unless otherwise agreed in writing.

4.8 Processing Fees & Refund Deductions

All prices displayed are the price you pay. Vilni Journeys covers standard payment processing fees when you book.

For refunds: If you initiate a cancellation and receive a refund, Vilni Journeys may deduct the payment processor's refund-handling fees from your refunded amount. This is a standard practice to cover the cost of processing your refund. We'll inform you of any fee deductions when we process your cancellation.

5Cancellation Policy (If You Need to Cancel)

Life happens. Here's how we handle it if you need to cancel your trip.

Cancellations must be submitted in writing to bookings@vilnijourneys.com.

5.1 The First 48 Hours — 100% Cash Refund

Changed your mind right after booking? No problem. If you cancel within 48 hours of booking, we refund 100% of whatever you've paid in cash (processing fees may be deducted, see Section 4.8). No questions asked.

This applies whether you paid just the deposit or the full trip cost upfront.

5.2 After 48 Hours — 50% Credit Toward Future Trip

If you cancel more than 48 hours after booking, you forfeit the cash refund. Instead, you get 50% of the payments we've actually received from you as a credit toward any future Vilni Journeys trip.

Important: This rule applies at any point after the first 48 hours, all the way up to departure. Whether you cancel three days after booking, 59 days before departure, or three days before departure, you receive a 50% credit.

Your credit:

  • Must be used to book a new trip within 12 months of the cancellation date (the trip itself can take place later)
  • Can be used on any future Vilni Journeys trip
  • Can be transferred to a friend or family member

Example: You book a $4,000 trip and pay in full. You cancel 2 weeks later. You get a $2,000 credit, which you can use to book any trip within the next 12 months. If you had only paid a $1,000 deposit, your credit would be $500.

5.3 Refund Processing (Cash Only)

If you qualify for a cash refund (within 48 hours), it's processed within 10 business days to your original payment method. Processing fees may be deducted as described in Section 4.8.

5.4 Credit Processing

We'll confirm your credit by email when your cancellation is processed. To use it, just let us know when you book your next trip.

5.5 Group Bookings: What If One Person Cancels?

If you book for multiple people on one reservation, each cancellation is handled separately. One person backing out doesn't affect the others.

Important: Any refunds or credits go back to whoever booked the trip (the Responsible Party), not to individual travelers. If refunds/credits are due, we send them to the person who made the booking.

5.6 Changing Names or Transferring Your Booking

Want to put your trip in someone else's name, or change your own name? Contact us at bookings@vilnijourneys.com to discuss your options.

Before the crew manifest is finalized: Name changes and transfers may be free (subject to availability and at our discretion).

After the crew manifest is prepared: A $200 fee applies if changes are possible.

Once the crew manifest is final: No changes allowed. The names on that list are locked in.

The crew manifest is typically finalized a few weeks before departure. You should reach out well in advance if you anticipate needing a name change or transfer.

5.7 Want to Reschedule Instead of Cancel?

If you can't make your booked trip but want to sail with us on a different date, let's work it out. Any refund or credit you'd be entitled to can be applied toward another trip—no rescheduling fee.

6If We Need to Cancel (Rare, But Possible)

6.1 Our Guarantee

We guarantee all Vilni Journeys trips will depart—except for trips marked with a "Confirmation Date."

Some trips require confirmation by a deadline due to various factors (booking volume, charter company requirements, logistics, etc.). If a Confirmation Date trip is not confirmed by the deadline, we'll notify you and offer a full refund or a credit toward another trip (to be used for a booking within 12 months).

Confirmation requirements and deadlines will be clearly posted on the Trip page.

6.2 When We Might Have to Cancel

In rare cases, we may need to cancel a Trip, for example because of a force majeure event (see Section 18), a vessel problem we can't solve, or a crew emergency we can't cover. For trips with a Confirmation Date, we may also cancel if the confirmation requirements aren't met (see Section 6.1).

We do our absolute best to solve problems, and we have resources to handle most situations. If a sailboat has a mechanical failure, we'll look for a substitute vessel. If a crew member can't make it, we'll look for a qualified replacement. We prioritize LGBTQ+ crew and guarantee LGBTQ+-friendly crew if fully LGBTQ+ crew isn't available. Still, in rare cases, a problem may not be solvable, and we want you to know that upfront.

If we substitute a vessel of a lower comfort level: Whatever we recover from the charter company is passed on to you, either as a partial refund or, if you prefer, as a credit of the same amount.

6.3 How We'll Tell You

If we need to cancel, we'll notify you as soon as we know. For things like extreme weather or emergency repairs, that might be real-time notice. We'll give you all the info we have, when we have it.

6.4 What Happens to Your Money

If we cancel for any reason other than an unconfirmed Confirmation Date trip (which is covered in Section 6.1), you get to choose:

Option 1: Refund

Get your money back, minus unrecoverable costs we've already paid to vendors (charter company penalties, non-refundable hotel deposits, permits, crew commitments, etc.). We'll itemize those costs and show you exactly what we're deducting.

Option 2: Credit

Get a credit equal to the refund amount in Option 1, valid for any future Vilni Journeys trip. The credit must be used to book a new trip within 12 months of the cancellation date.

The choice is yours.

Refunds are processed within 30 days, and we'll do our best to minimize unrecoverable costs by negotiating with vendors.

Important: We recommend all guests purchase trip cancellation insurance (see Section 7). Depending on your policy, it may cover losses that a refund or credit from us doesn't, such as flights and hotels you booked yourself.

7Travel Insurance (Required)

7.1 Why It's Required

Travel insurance is mandatory for all trips. We'll remind you about it before you travel, but it's your responsibility to obtain it.

Why? Because if something goes wrong—an injury, an illness, an emergency evacuation—medical costs while sailing can be significant. We want you protected. Trip cancellation insurance can also cover your losses if you need to cancel for a reason your policy covers. Check what your policy includes.

7.2 What to Look For

Your insurance should cover:

  • Medical expenses (if you get sick or injured)
  • Emergency evacuation and repatriation (critical when sailing)
  • Trip cancellation (we recommend this, especially given our cancellation policy)

We don't set a specific minimum amount, but we suggest at least $200,000 USD in medical and evacuation coverage. We typically sail in coastal waters close to civilization, but evacuation can still be expensive. Evacuation alone can cost $50,000 or more.

7.3 Our Reminder, Your Responsibility

We'll send you a reminder before departure. We don't check proof of insurance at boarding—we trust you. If something happens and you're not covered, the costs are yours, so please don't skip it.

7.4 Read the Fine Print

Insurance policies have exclusions. Pre-existing conditions, high-risk activities, travel warnings—they all matter. Read your policy. We're not responsible if your insurance doesn't cover something.

8Health, Fitness & Medical Requirements

8.1 General Health

By booking, you attest that you are in good health and physically capable of participating in a sailing adventure. Sailing involves:

  • Prolonged time at sea
  • Exposure to sun, wind, and salt water
  • Physical movement (climbing stairs, balancing on a moving deck, boarding via tender)
  • Confined cabin spaces
  • Limited access to medical facilities
  • Potential for seasickness, dehydration, or sunburn

8.2 Medical Conditions

If you have a significant medical condition, please inform us before booking (heart disease, seizure disorder, severe claustrophobia, pregnancy, recent surgery, mobility limitations, etc.). We may ask follow-up questions to ensure the Trip is safe for you.

8.3 Medical Conditions & Accessibility

Vilni Journeys is committed to welcoming guests of all abilities. However, sailboats have inherent physical limitations:

  • Narrow stairways and doorways
  • Open-deck areas with risk of falls
  • Tender boarding (small boat transfers in rough sea)
  • No wheelchair accessibility
  • No elevators
  • Constant movement: you'll need to keep your balance on a moving, tilting deck

You must be able to navigate the vessel independently, board via tender if needed, and climb stairs. If you have mobility concerns, please contact Vilni Journeys before booking to discuss your specific needs.

8.4 Medical Equipment & Accessibility

Guests requiring medical equipment (CPAP machines, oxygen, ventilators, etc.) are welcome provided the equipment operates quietly and does not disturb other guests. Loud or disruptive equipment (such as loud CPAP machines or similar devices) is not permitted aboard as it disturbs cabin-mates and neighboring vessels.

If you require medical equipment, please inform Vilni Journeys before booking so we can discuss whether your specific equipment is compatible with shared-cabin sailing.

8.5 Medications & Allergies

You are responsible for:

  • Bringing all personal medications in original bottles
  • Informing the crew of all allergies and medications at the start of the Trip
  • Carrying emergency medications (EpiPen, etc.) if needed
  • Storing medications properly in your cabin

Vilni Journeys Crew carries basic first aid supplies. We are not a medical facility. For serious emergencies, evacuation to the nearest hospital will be arranged via the coast guard or local emergency services.

8.6 Pregnancy

Sailing is not recommended for pregnant guests due to the risk of falls, trauma, and distance from medical facilities. Vilni Journeys reserves the right to deny participation by pregnant guests or require physician clearance and additional waivers.

8.7 Age Requirements

  • Minimum age: 21 years old
  • Ages 18–20: Welcome with our prior written approval. Guests aged 18–20 agree to these Terms and sign the liability waiver themselves, like any other guest.
  • Under 18: Not permitted
  • Maximum age: No age limit, but medical fitness is required (see Section 8.2).

8.8 Right to Deny Participation

We reserve the right to deny participation if:

  • Health or fitness is misrepresented
  • Medical condition poses a risk to the guest or others
  • Guest appears intoxicated or impaired at boarding
  • Guest can't safely navigate the vessel or activities
  • "Vibe fit" — we sell great travel in great company. If we determine (including through phone screening) that the group chemistry won't work, we can decline participation to protect the experience for everyone.

If we decline your participation before the Trip for any reason other than those listed below (for example, vibe fit or our pre-trip screening), you will receive a full refund.

No refund is issued if participation is denied because health or fitness was misrepresented, or because a guest appears intoxicated or impaired at boarding. No refund is issued if a guest is removed during the Trip for misconduct or safety violations (see Section 10).

8.9 Medical & Wellbeing Emergencies

If a guest's physical or mental health makes it unsafe for them to continue the Trip, we may arrange for them to disembark and get appropriate help. This is not treated as misconduct. Your travel insurance (Section 7) is there for situations like this.

9Risks & Liability

9.1 Understanding the Risks

Sailing is amazing, but it's not risk-free. Travel at sea involves real hazards that we can't eliminate, no matter how careful we are. By booking, you confirm you understand and accept them, including:

9.2 Explicit Release & Waiver

TO THE FULLEST EXTENT PERMITTED BY LAW, BY BOOKING AND TRAVELING WITH VILNI JOURNEYS, YOU VOLUNTARILY RELEASE AND HOLD HARMLESS:

Vilni Journeys (Check in Sea Inc.), its owners, operators, employees, crew members, guides, contractors, charter companies, vendors, and all affiliated parties from any and all claims, damages, losses, injuries, or death resulting from:

  1. Your participation in the Trip and any activities
  2. Risks inherent to sailing, water activities, or land exploration
  3. Your travel to and from the destination
  4. Third-party actions (other guests, locals, vendors, service providers)
  5. Encounters with wildlife or natural hazards
  6. Medical emergencies or evacuation
  7. Loss or theft of personal belongings
  8. Any other cause

This release applies even if you are harmed as a result of advice, information, or recommendations provided by Vilni Journeys or Crew—you remain responsible for your own health and safety decisions.

9.3 Assumption of Responsibility

By traveling with Vilni Journeys, you explicitly acknowledge and assume full responsibility for:

  • Your own health, fitness, and medical condition
  • Your own safety and the safety of any companions
  • Your own belongings and personal effects
  • Your own decision to participate in any activity
  • Understanding and accepting the risks outlined in this section

You confirm you are medically and physically capable of participating in a sailing trip, and that you'll consult your physician if you have any health concerns.

9.4 Activities & Optional Participation

Activities during your Trip may include the following. Some may be included in your Trip price and others you can arrange locally; many are provided by independent third-party operators (see Section 9.10).

Water Activities:

  • Swimming and snorkeling
  • Kayaking or paddleboarding
  • Windsurfing or diving (if offered on your specific trip)

Land & Adventure Activities:

  • Hiking or nature walks
  • Horseback, donkey, or mule riding excursions
  • ATV or vehicle rentals
  • Rock climbing or cliff jumping (if offered and appropriate for location)
  • Exploring local villages or cultural sites

On-Vessel Activities:

  • Sailing instruction or participation
  • Fitness or yoga classes
  • Evening socials or group dinners

No activity is mandatory. You may choose to participate in any activity or opt out at any time without penalty or refund adjustment. It's your choice based on your comfort level and physical ability.

9.5 Advisory Regarding Activities & Risk

Vilni Journeys and Crew members may provide advice, guidance, recommendations, or instruction about activities, safety, or participation. This advice is informational only and does not transfer responsibility to Vilni Journeys or Crew. You retain full control over your decisions and remain responsible for your own health and safety.

If you do not fully understand a risk, are doubtful about your ability to participate in an activity, or have health concerns about any activity, consult with Crew members before participating. Ask questions. Crew can discuss the activity in detail and help you assess your comfort level.

You assume full responsibility for your decision to participate or not participate in any activity. No one will pressure you, and opting out carries no judgment or penalty.

9.6 Indemnification

You agree to indemnify and hold harmless Vilni Journeys, its owners, employees, crew, and all affiliated parties from any claims, damages, liabilities, or costs (including legal fees) arising from:

  • Your participation in the Trip
  • Your violation of these Terms
  • Your conduct or actions
  • Claims by third parties (other guests, locals, service providers) related to your behavior

9.7 Limitation of Liability

To the fullest extent permitted by law, Vilni Journeys' total liability for any cause whatsoever shall not exceed the total amount paid by Guest for the Trip. This means:

  • If you paid $4,000 for a Trip, Vilni Journeys' maximum liability is $4,000.
  • This cap applies to all claims: injury, loss, damage, death, cancellation, or any other cause.
  • This does NOT limit your liability to Vilni Journeys (e.g., if you damage the boat).

9.8 Waiver Enforcement

This liability waiver is a binding legal document. In addition to agreeing to these Terms at booking, you'll be asked to sign a liability waiver before departure. Some activities may require a separate activity-specific waiver.

By booking, you confirm that:

  • You have read and understood this waiver
  • You knowingly and voluntarily assume all risks
  • You waive your right to sue Vilni Journeys for injuries or damages
  • You understand this waiver may limit your legal remedies

If any portion of this waiver is found unenforceable, the remaining portions remain in full effect.

9.9 Exceptions to Waiver

This waiver does NOT release Vilni Journeys from liability for:

  • Gross negligence (reckless disregard for safety)
  • Willful misconduct or intentional harm
  • Violation of maritime safety laws or regulations
  • Criminal conduct

However, ordinary negligence (mistakes, errors in judgment) is covered by this waiver.

9.10 Independent Suppliers

Vilni Journeys organizes and sells the Trips described on our Trip pages. Many services on your Trip, including the sailboat charter, hotels, transfers, restaurants, and activities, are provided by independent third-party suppliers, even when they're included in your Trip price. We choose them carefully, but we don't own or control them and aren't liable for their acts or omissions. Their own terms and conditions may also apply. If a supplier lets you down, we'll work to fix it or find an alternative.

10The Community We're Building

Vilni Journeys is all about creating a safe, respectful, and inclusive space for everyone. We celebrate LGBTQ+ identity, diversity, and different backgrounds. Zero tolerance for discrimination, harassment, or dangerous behavior.

If those values don't resonate with you, Vilni Journeys isn't the right fit.

10.1 Grounds for Immediate Removal

Vilni Journeys (or the Crew aboard) reserves the right to immediately remove any guest who:

Discriminatory or Harassing Conduct:

  • Uses racist, homophobic, transphobic, or otherwise discriminatory language
  • Harasses another guest, crew member, or local person
  • Makes unwanted sexual advances or engages in sexual harassment
  • Discriminates based on race, ethnicity, national origin, religion, sexual orientation, gender identity, gender expression, disability, age, or other protected characteristics
  • Engages in bullying or intimidation

Violent or Threatening Conduct:

  • Uses physical violence or threatens violence
  • Engages in physical assault or altercation with another person

Intoxication & Substance Abuse:

  • Appears intoxicated or impaired to the point of endangering self or others
  • Possesses or uses illegal drugs
  • Refuses to follow safety instructions due to intoxication

Refusal of Safety Compliance:

  • Refuses to participate in mandatory safety briefings
  • Refuses to follow Crew instructions regarding safety
  • Endangers the vessel, crew, or other guests through reckless conduct

Other Grounds:

  • Theft, vandalism, or property damage
  • Uncontrolled behavior that disrupts the group
  • Any other conduct deemed unsafe or unacceptable by Crew

10.2 Removal Procedure

For minor issues: Guest will receive a verbal warning and opportunity to correct behavior.

For safety threats or serious violations: Guest will be immediately removed, with no opportunity for correction.

Disembarkation: Removed guests will be disembarked at the nearest safe location with access to transportation and civilization. This may include a port, marina, beach, town, village, quay, wharf, or other accessible location. The location will be determined based on what's safest and most practical at the time.

Guest is responsible for all costs associated with disembarkation, travel home, accommodations, and transportation beyond the disembarkation point.

10.3 No Refund After Removal

If you're removed for misconduct, no refund is given for any part of the Trip, including the unused portion. Misconduct affects everyone's trip, so we take it seriously.

10.4 Police & Coast Guard Authority

Vilni Journeys reserves the right to report misconduct, threats, or criminal activity to local authorities, coast guard, or law enforcement. Crew members are authorized to contact police or coast guard if:

  • A guest poses a safety threat
  • A crime is suspected
  • Guest removal is necessary for the safety of the vessel or other guests

You consent to this reporting by booking.

10.5 Our Commitment to LGBTQ+ Safety

Vilni Journeys is founded on inclusive values. We are committed to:

  • Creating a safe space for LGBTQ+ travelers of all identities and expressions
  • Hiring diverse, gay-friendly, or LGBTQ+-identified crew when possible
  • Zero tolerance for homophobia, transphobia, or discrimination
  • Celebrating the diversity of our guests and crew

Discriminatory conduct will not be tolerated and will result in immediate removal.

11Your Itinerary (It's a Guide, Not a Guarantee)

11.1 Plans Change at Sea

Your itinerary is our plan, but sailing depends on conditions we can't control. We may change things to provide the best possible experience and ensure everyone's safety.

We might modify:

  • Which places we visit and in what order
  • Specific activities or meals
  • Cabin assignment
  • Timing or pacing of the day

Changes may happen due to:

  • Weather or sea conditions
  • Mechanical or technical issues
  • Crew emergency
  • Port closures or restrictions
  • Safety concerns
  • Real-time ocean and wind conditions

11.2 How We'll Tell You

We'll notify you as soon as we know about changes. If it's weather-related and happens while we're sailing, you might get real-time notice. We can't predict a storm, but we'll tell you immediately when it affects your plans.

11.3 No Refund for Changes

We don't offer refunds or credits if the itinerary changes. Weather, port closures, activity cancellations—that's part of sailing. These are outside our control, so we can't reimburse for them.

Sailing is weather-dependent. Itinerary changes are part of the experience.

12What You Get & What You Don't

12.1 What's Included

Every trip is different. Inclusions are determined for each specific departure and will be clearly disclosed on the Trip page when you book.

Possible inclusions may include:

  • Meals ashore, unless listed as included on your Trip page
  • Personal expenses (shopping, souvenirs, spa services, haircuts, etc.)

Local Purchases: Guests can purchase activities and services directly from local vendors and businesses at destinations (diving certifications, massages, restaurant dinners, ATV rentals, spa services, guided excursions, etc.). These purchases are independent of Vilni Journeys and are not refundable through us if the activity is cancelled for weather or other reasons.

12.4 Pricing & Private Charters

Standard trips: Prices are per person (based on two people sharing a cabin).

Private charters: We can charter an entire vessel for your group. Private charters may still be priced per person (we'll calculate based on group size). Contact us at bookings@vilnijourneys.com for a quote.

12.5 Discounts & Promotional Codes

Vilni Journeys may offer promotional codes, early-booking discounts, or group discounts at our discretion. Discount codes must be applied at booking; they cannot be retroactively applied to existing bookings.

  • Obtaining a valid passport
  • Ensuring your passport is valid for at least 6 months beyond your Trip end date
  • Obtaining visas or travel permits required by the destination country/countries
  • Meeting all entry requirements (vaccinations, health certificates, etc.)

Vilni Journeys provides general information about visa requirements but is not responsible for visa denials, delays, or travel document issues. If you miss your Trip due to passport or visa problems, cancellation penalties apply (see Section 5).

13.2 Vaccinations & Health Requirements

Some destinations require or recommend vaccinations (yellow fever, typhoid, etc.). You are responsible for:

  • Checking vaccination requirements for your destination
  • Obtaining recommended vaccinations
  • Bringing vaccination certificates if required for entry

Vilni Journeys will provide destination health information, but you must consult your physician regarding vaccination and health precautions.

13.3 Your Belongings

We're not responsible for theft, loss, or damage to your belongings or luggage.

13.4 What to Pack

Cabin space is limited. Here's what works:

  • One soft duffel bag (soft luggage squishes to fit; hard luggage doesn't)
  • Minimal additional carry-on
  • No trunks, footlockers, or rigid cases

Oversized luggage may be refused. Pack light and pack smart.

13.5 Damage to Equipment & Property

Guests are responsible for any damage to:

  • Vilni Journeys equipment
  • Chartered or rented equipment (belonging to the charter company or vendors)
  • The sailboat or vessel
  • Crew property or personal belongings
  • Any property that results in financial liability for Vilni Journeys to third parties

If damage occurs due to a guest's actions, the guest (or the Responsible Party for their booking) agrees to pay the repair or replacement costs promptly upon receiving our invoice. This applies whether the damage is intentional, negligent, or accidental.

13.6 Hazardous Materials & Restricted Items

The following are prohibited aboard:

  • Weapons or explosives
  • Illegal drugs or controlled substances
  • Alcohol beyond reasonable personal consumption
  • Flammable or hazardous materials
  • Fireworks or dangerous items
  • Any item prohibited by maritime law

Violators will be removed, and no refund will be issued.

14Solo Travelers & Group Bookings

14.1 Traveling Solo? We Love It

Solo travelers get a warm welcome. Cabin options:

  • Shared cabin: Standard per-person rate. We'll match you with another guest for your cabin.
  • Private cabin: Available at a premium rate, subject to availability. See Section 12.3 for pricing.

14.2 Booking for a Group

Booking multiple people on one reservation? Each cancellation is handled separately. One person backing out doesn't affect the others.

14.3 Friends & Couples

Want to be in the same cabin? Let us know at booking, and we'll pair you based on your preferences and availability.

15The AC Reality

15.1 Most Sailboats Have AC (But with Limitations)

Most modern sailboats have air conditioning. But sailboats aren't like hotels—they have real limitations you need to understand.

15.2 How Sailboat AC Works

  • AC can break. It's a mechanical system aboard a vessel, subject to salt-water corrosion and regular wear.
  • In marinas: AC runs from shore power (quiet, efficient).
  • At sea: AC runs on a generator (loud, fuel-intensive, and disturbs nearby sailboats and other anchored vessels).
  • Generator noise: Even on newer sailboats, if you need AC while anchored, it requires running a loud generator. The crew must balance your comfort with respect for other vessels and people in the anchorage.
  • Performance varies by cabin location, sun exposure, outside temperature, and how the sailboat is positioned.

15.3 The Crew Decides AC Timing

The skipper and crew determine when and how to run AC, based on:

  • Current location (marina vs. anchorage)
  • Impact on other vessels nearby
  • Fuel and battery status
  • Everyone's comfort

They'll inform you at the start of the Trip about AC options and limitations for that specific journey.

15.4 If AC Breaks

It happens—it's a sailboat at sea. We're genuinely committed to your comfort. If AC breaks, we'll:

  • Work to repair it immediately if possible
  • Use fans, cross-ventilation, and open windows
  • Provide shade and strategic positioning
  • Use cool bedding and towels
  • Give you deck access for cooler air
  • Do everything in our power to keep you as comfortable as possible given the limitations

15.5 No Refunds for AC or Heat Discomfort

We don't offer refunds or credits for AC malfunctions, limited AC availability, heat, humidity, or temperature discomfort. These are inherent to sailing and are part of the sailboat experience.

Sailing is an ocean experience. Temperature variation and AC limitations are part of that reality.

16Photos & Social Media

16.1 We Take Pictures

Our crew may take photos and videos during the Trip to share with the group.

16.2 Marketing Use Is Your Choice

At checkout, we'll ask whether you consent to us using photos and videos in which you can be identified on our website, social media, and marketing. You can say no, and you can change your mind at any time by emailing bookings@vilnijourneys.com.

If you haven't consented, we won't use images in which you're identifiable for marketing. Crew aren't professional photographers, so you may still appear in photos shared within the group.

16.3 You Can Share Too

Take photos, share them, and tag us on Instagram at @vilnijourneys—we'd love it! Just:

  • Don't post other guests' faces without their permission
  • Use good judgment about privacy

16.4 Guest Testimonials

If you choose to give us a testimonial, quote, review, or video, we'd be deeply grateful. By providing one, you automatically consent to us:

  • Publishing it on our website and social media
  • Using it in marketing and promotional materials
  • Including your name and/or photo
  • Editing it for clarity or length
  • Using it for an indefinite period

This is entirely voluntary. If you prefer not to provide a testimonial, simply don't submit one. If you do share one with us, we genuinely appreciate it and will use it thoughtfully to showcase the Vilni Journeys experience.

17Disputes & Chargebacks

17.1 Contact Us First

If you have a dispute regarding your booking, charges, refunds, services, or any disagreement with Vilni Journeys:

Please contact us directly first. We want to make it right.

Allow us 14 days to respond and work toward resolution. Most disputes can be resolved with direct communication.

17.2 Please Talk to Us Before a Chargeback

We ask that you contact us and give us 14 days to resolve the issue before filing a chargeback with your card company. Chargebacks are costly for a small operation like ours, and most issues can be resolved faster by talking to us directly. This doesn't affect any rights you have under law.

17.3 Exchange Rates

Our prices are in USD. If you pay with a card in another currency, your card company handles the conversion, and exchange rates change daily.

Your price is locked when you book. We don't adjust prices for exchange rate changes after booking.

17.4 Governing Law & Jurisdiction

These Terms & Conditions are governed by the laws of the State of New York, United States, regardless of your location or where the Trip takes place.

Any legal action arising from these Terms must be filed in the courts of New York. By booking, you consent to jurisdiction and venue in New York courts.

17.5 Entire Agreement

These Terms & Conditions, along with the Trip page for your departure, the Privacy Policy, and any Liability Waiver, constitute the entire agreement between you and Vilni Journeys regarding your Trip. No other representations or warranties apply.

17.6 Amendments & Updates

Vilni Journeys may amend these Terms at any time. Changes apply only to new bookings. Bookings made before the amendment date remain subject to the Terms in effect at the time of booking.

18Force Majeure (Events Outside Our Control)

18.1 What Counts as "Force Majeure"

Sometimes things happen that are completely out of our hands. Here's what qualifies:

Weather & Environmental:

  • Hurricane, typhoon, tropical storm, or severe weather
  • Earthquake, tsunami, or volcano
  • Wildfire or air quality emergency affecting travel
  • Extreme conditions (fog, dangerous seas, extreme heat/cold)

Political & Security:

  • War, military conflict, terrorism, or civil unrest
  • Government travel bans, border closures, or travel restrictions
  • Pandemic, epidemic, or public health emergency
  • Port closures or government-ordered restrictions

Vessel & Operations:

  • Boat failure we can't repair or replace within 24 hours
  • Crew emergency we can't resolve with replacement crew
  • Critical safety repairs needed immediately

Other Unforeseen Circumstances:

  • Strikes or labor actions by port workers or vendors
  • Any other event beyond our reasonable control that makes the Trip unsafe or impossible

18.2 What Doesn't Count

These are not force majeure:

  • Rain or regular wind
  • Seasickness
  • Illness of an individual guest
  • Regular itinerary changes
  • Not enough bookings (unless we said it was conditional)
  • Mechanical issues we can fix

18.3 Seasonal Weather & Advisories

Vilni Journeys attempts to avoid scheduling trips during peak hurricane or cyclone seasons. However, some trips may be scheduled during periods with elevated weather risk.

If a Trip is scheduled during a season with higher weather risk, we will clearly note this on the Trip page. You should expect that:

  • Itinerary changes are more likely
  • Route deviations to avoid storms may occur
  • Cancellation is more probable
  • Extended time sheltering in a marina is possible

By booking a trip during a higher-risk season, you accept the increased likelihood of weather-related changes and cancellations.

18.4 What Happens to Your Money

If we cancel your Trip due to a force majeure event, the refund and credit options in Section 6.4 apply.

19General Legal Terms

19.1 Severability

If a court finds any part of these Terms unenforceable, the rest remains in effect.

19.2 No Waiver

If we don't enforce something today, that doesn't mean we're waiving our right to enforce it tomorrow.

19.3 Time Limit for Claims

You have 1 year from the incident to file a legal claim against us. Claims filed after that are barred.
